What is n8n? n8n is a workflow automation tool that connects the apps your business already uses and moves data between them on its own. You build each automation by linking blocks on a visual canvas: a trigger (a new form entry, an email, a payment) followed by the steps that should happen next. Unlike most rivals, you can run n8n free on your own server or pay for n8n's cloud version, which starts at about ₹2,125 a month on yearly billing.

This guide explains what n8n is in plain words, how it works, what it costs in rupees, five workflows a small business can set up first, and where n8n is the wrong choice. We build n8n automations for clients, and the advice here draws on that work.

What is n8n? The short answer

n8n (pronounced "n-eight-n", short for "nodemation") is a workflow automation platform made by n8n GmbH, a company based in Berlin. It was started in 2019 by Jan Oberhauser, according to its Wikipedia entry.

Think of it as a digital office assistant that never sleeps. You tell it, "When a customer fills in the enquiry form, add them to my Google Sheet, send them a WhatsApp reply, and alert my sales person." n8n then does that every single time, in seconds, without anyone copying and pasting.

Three things make n8n different from tools like Zapier and Make:

  • You can host it yourself. The community version runs on your own server, so your customer data does not have to sit on a third-party automation platform.
  • Cloud plans charge per workflow run. A 20-step workflow costs the same as a 2-step one on n8n Cloud.
  • It handles complex logic. Branches, loops, custom code and AI agents are built in, so you will not outgrow it quickly.

n8n has also become a serious company. Wikipedia reports a $180 million Series C round in October 2025 at a $2.5 billion valuation, and a strategic investment from SAP in May 2026. That matters to a business owner because it suggests the tool is not going to disappear next year.

How n8n works: triggers, nodes and workflows

Every n8n automation is called a workflow. A workflow is made of nodes, and each node does one job. You drag nodes onto a canvas and connect them with lines.

TermWhat it meansExample
Trigger nodeThe event that starts the workflowA new Google Form response, a webhook from your website, every Monday at 9 am
Action nodeA step that does something in another appAdd a row to Google Sheets, send a Gmail, create a contact in your CRM
Logic nodeDecides what happens next"If order value is above ₹5,000, alert the owner; otherwise just log it"
Code nodeRuns a small piece of JavaScript or PythonClean up phone numbers into +91 format
AI nodeSends data to an AI model and uses the answerRead an enquiry and tag it as hot, warm or cold
ExecutionOne complete run of a workflowOne form entry processed from start to finish

n8n says it has 500+ native integrations, and it can connect to almost any other service through its HTTP Request node, as long as that service has an API. That covers most Indian tools too. Payment gateways like Razorpay, for example, can send a webhook to n8n whenever a payment succeeds.

A simple example

Say a Mumbai interior design studio gets enquiries through its website. A basic n8n workflow would look like this:

  1. Trigger: the website form sends the enquiry to n8n.
  2. Action: n8n adds the name, phone, budget and city to a Google Sheet.
  3. Logic: if the budget is above a set amount, the lead is marked "priority".
  4. Action: the customer gets an instant email confirming the enquiry.
  5. Action: the designer gets a message with the lead details.

Done by hand, that is five or six minutes per enquiry, and it often slips on busy days. Done by n8n, it happens the moment the form is submitted.

What is n8n used for? 5 first workflows for a small business

The fastest way to get value from n8n is to automate one boring, repeated task. These five are where we usually start with small businesses.

1. Lead capture and instant follow-up

Pull leads from your website form, Facebook lead ads or IndiaMART emails into one Google Sheet or CRM, then send the lead an automatic reply. A reply within a minute or two means the lead hears from you while they are still looking.

2. WhatsApp order and appointment updates

n8n can connect to the WhatsApp Business Platform to send confirmations and reminders. A clinic can remind patients the day before an appointment; a store can confirm an order when payment lands. Meta charges separately for these messages, so read our guide to WhatsApp Business API pricing in India before you plan volumes.

3. Invoice and payment tracking

When a payment arrives through your gateway, n8n can log it in a sheet, mark the invoice as paid and email a receipt. At month end, a second workflow can send you a summary of unpaid invoices.

4. Weekly business reports

Every Monday morning, n8n can collect last week's numbers from your sheets, store or ad accounts and send you one email or Slack message. You read one message instead of logging in to five dashboards.

5. AI-assisted email and enquiry sorting

Connect an AI model and n8n can read incoming emails, sort them (sales, support, spam), draft a reply for a person to check, and route each one to the right team member. Keep a human in the loop for anything a customer will see. If you are new to this idea, start with our explainer on what AI automation is.

n8n cloud vs self-hosted: which should you pick?

n8n comes in two main forms. The choice affects cost, effort and who looks after your data.

Factorn8n Cloudn8n self-hosted (community version)
Software costPaid plan, from €20 a month billed yearlyFree
Server costIncludedYou pay for a VPS, from around ₹779 a month at some Indian-facing hosts
SetupSign up and start buildingNeeds someone to install, secure and update the server
Execution limits2,500 a month on Starter, 10,000 on ProNo plan limit; your server size is the limit
Updates and backupsHandled by n8nYour responsibility
Data locationOn n8n's cloudOn a server you choose, including Indian data centres
Best forNon-technical teams who want to start this weekBusinesses with a developer or agency, or strict data rules

Our rule of thumb: if nobody on your team is comfortable with servers, start on n8n Cloud. You can move to self-hosting later by exporting your workflows. If you handle a lot of personal data or expect high volumes, self-hosting with someone to maintain it usually pays off.

The license, in plain words

Self-hosted n8n is free, but it is not "do anything you like" open source. It uses n8n's own Sustainable Use License. According to n8n's license FAQ, you can:

  • use it to run your own business, including several instances;
  • pay a consultant or agency to build and maintain workflows for you;
  • run it behind the scenes in your own product, where users only see the results.

You cannot host n8n as a service where your clients log in and build their own workflows, or rebrand it as your own automation product. For most small businesses using it internally, the license is not a problem.

How much does n8n cost in India?

n8n prices its cloud plans in euros. The figures below come from the n8n pricing page as checked on 22 October 2026, converted at about ₹106 per euro (the market rate on 21 October 2026). Your bank's card rate and forex fees will make the final amount a little higher.

PlanPrice (billed yearly)Approx. in ₹ per monthWorkflow executions a monthGood for
Community (self-hosted)Free₹0 for software, plus serverLimited only by your serverTeams with technical help
Starter (cloud)€20/monthabout ₹2,1252,500A few workflows, low volume
Pro (cloud)€50/monthabout ₹5,30010,000Growing teams, more workflows
Business (self-hosted)€667/monthabout ₹70,90040,000Larger companies needing SSO and admin controls
EnterpriseCustom quoteOn requestCustomLarge organisations

Two details that catch Indian buyers out:

  • Executions, not steps. n8n's pricing page defines an execution as "a single run of your entire workflow", however many steps it has. A workflow that runs on every enquiry uses one execution per enquiry, so estimate your monthly volume before choosing a plan.
  • GST on foreign software. GST is levied at 18% on digital services bought from abroad. If your business is GST-registered, you usually pay it yourself under reverse charge, as India Briefing explains. Check the treatment with your CA.

Worked example: a 10-person services firm

Say you run four workflows: lead capture (about 600 enquiries a month), appointment reminders (about 800), payment logging (about 300) and a weekly report (4). That adds up to roughly 1,700 executions a month, which fits inside the Starter plan's 2,500.

  • n8n Cloud Starter: about ₹2,125 a month, or roughly ₹25,500 a year, before GST and card charges.
  • Self-hosted: a small VPS such as Hostinger's KVM 2 plan at ₹779 a month (before GST), plus someone's time to set up, secure and update it.

Remember that n8n is only one line in the budget. WhatsApp message charges, AI model usage and the time to build and test workflows are separate. We compare these costs across tools in n8n vs Zapier vs Make.

Is n8n worth it? Pros and cons

ProsCons
Free to self-host, so costs stay flat as volume growsSteeper learning curve than Zapier for non-technical users
Cloud plans charge per run, not per stepSelf-hosting means you own security, updates and backups
Handles complex logic, code and AI agents in one placeSome niche Indian apps need custom API setup rather than a ready node
You control where your data livesCloud prices are in euros, so the rupee cost moves with the exchange rate
Large template library and active communityLicense limits reselling n8n itself as a hosted product

When n8n is not the right tool

n8n is powerful, but we do not recommend it to everyone. Skip it, or get help, if:

  • You only need one or two very simple automations and nobody wants to learn a new tool. A built-in feature in your CRM or form tool may be enough.
  • Nobody will own it. Automations break when an app changes its login or a field is renamed. Someone has to check the error log.
  • You plan to self-host with no technical help. An unpatched server holding customer data is a real risk, especially under India's Digital Personal Data Protection Act, 2023.
  • Your process itself is unclear. If the steps change every time, the workflow will keep breaking, so write the steps down first.

How to get started with n8n: a 6-step checklist

  1. Pick one task that happens at least 20 times a week and follows the same steps each time.
  2. Write the steps down on paper: what starts it, what data moves, who needs to know.
  3. Start a free n8n Cloud trial (no card needed for Starter or Pro, according to n8n's pricing page) or self-host on a test server.
  4. Use a template from n8n's library as a starting point instead of a blank canvas.
  5. Test with real but harmless data, such as your own phone number and email, before going live.
  6. Turn on error alerts so you hear about failures from n8n, not from an annoyed customer.

When to hire help

Many owners build their first simple workflow themselves in an afternoon. It makes sense to bring in an agency or freelancer when workflows touch payments or customer data, need to connect to an Indian app without a ready-made node, or when you want a secure self-hosted setup that someone monitors.

Our team designs, builds and maintains these systems. See our n8n workflow automation services for what that covers.

Frequently asked questions

How do you pronounce n8n?

It is pronounced "n-eight-n". The name is a shortened form of "nodemation", because workflows are built from nodes.

What are the uses of n8n?

Common uses include lead capture, CRM updates, WhatsApp and email notifications, invoice and payment tracking, scheduled reports, syncing data between apps, and AI tasks such as sorting emails or drafting replies.

Is n8n free in India?

Yes, the self-hosted community version is free to use for your own business, in India or anywhere else. You still pay for the server it runs on. n8n Cloud is paid, starting at €20 a month billed yearly (about ₹2,125).

Is n8n actually free?

The software is free when you self-host it under the Sustainable Use License. The real costs are the server, the time to set up and maintain it, and any paid services your workflows use, such as AI models or WhatsApp messages.

Is n8n costly?

For most small businesses, no. A cloud Starter plan costs about ₹25,500 a year before GST. Whether that pays off depends on how many hours of manual work your workflows replace. Costs rise if you need high volumes on cloud or enterprise features.

Is n8n risky?

n8n itself is a mature, well-funded product. The risk lies in how it is set up. A self-hosted server that is never updated, or workflows that store passwords carelessly, can expose customer data. Use strong logins, keep it updated, store credentials in n8n's credential manager and limit who has access.
