A WhatsApp chatbot for business is software that replies to customers on your WhatsApp number automatically: it answers common questions, books appointments, shares order status and passes harder chats to a person. In India, a small business can run one for roughly ₹5,000 to ₹13,000 a month, including the chatbot software, Meta's per-message charges and 18% GST. Most of that is the software subscription. The messages themselves cost far less.
This guide covers what a WhatsApp chatbot can do in eight common industries, how the technology works, what it costs in rupees, how to set one up step by step, and the 2026 rules that decide what kind of bot you are allowed to run.
What a WhatsApp chatbot for business does
A WhatsApp chatbot sits on your official WhatsApp Business number. When a customer sends a message, the bot reads it and replies straight away, day or night. Depending on how it is built, it can show a menu of buttons, ask questions to qualify a lead, look up an order in your store, book a slot in your calendar, or answer in plain language using your own FAQs and product information.
A good business chatbot answers the repeat questions instantly: timings, location, prices, delivery areas, documents needed. These come up every day, and the answers rarely change. It also collects the customer's name, requirement, budget or preferred date, so your staff pick up a chat that already has the context.
When a question is complex or the customer asks for a person, the bot transfers the chat to your team. WhatsApp's own Business Messaging Policy requires automated experiences to offer a clear path to a human.
8 WhatsApp chatbot use cases by industry
The best use cases are the ones where customers already message you and the answers follow a pattern. These are the industries where that pattern is strongest for Indian businesses.
| Industry | What the bot handles | Message types used |
|---|---|---|
| Ecommerce and D2C | Order status, COD confirmation, returns and exchanges, size or product questions | Utility (order updates), service (replies) |
| Clinics and diagnostics | Appointment booking, doctor timings, report-ready alerts, fee questions | Utility (reminders), service |
| Real estate | Project details, budget and location qualification, site-visit booking, brochure sharing | Service, marketing (launch invites) |
| Restaurants and cloud kitchens | Menu, table reservations, direct orders, delivery area checks | Service, utility |
| Education and coaching | Course and batch details, admission enquiries, demo-class booking, fee reminders | Service, utility |
| Hotels and travel | Availability questions, booking links, check-in details, local information | Service, utility |
| Salons, gyms and studios | Slot booking, membership renewals, class schedules | Utility, service |
| B2B and professional services | Quote requests, document collection, support tickets, payment reminders | Service, utility |
Two patterns stand out. First, most of the value is in replying to people who message you, not in broadcasting to them. Second, the bot is only as useful as what it is connected to. A clinic bot that cannot see the appointment calendar ends up saying "our team will call you", which customers quickly learn to ignore.

How a WhatsApp chatbot works: app, API, BSP and AI
There are four pieces to understand before you pick a tool.
1. WhatsApp Business App vs WhatsApp Business Platform (API)
The free WhatsApp Business App on your phone has greeting messages, away messages and quick replies. That is basic automation, not a real chatbot. Meta is also testing an AI feature inside the app, which it calls Business AI. Its help page says it is available only in limited countries to select businesses and only in English and Spanish, and it does not list India, so most Indian businesses cannot rely on it yet.
A proper chatbot runs on the WhatsApp Business Platform, usually called the API. It lets software send and receive messages on your number, lets several staff share one inbox, and connects WhatsApp to your store, CRM or calendar.
2. The Business Solution Provider (BSP)
Most businesses reach the API through a BSP such as AiSensy, Wati, Interakt, Gupshup or MSG91. The BSP handles onboarding with Meta and gives you a dashboard with a shared inbox, broadcast tools and, usually, a chatbot builder. You can also connect to Meta's Cloud API directly, but then you build the bot and inbox yourself.
3. The bot logic: rule-based, AI or both
| Type | How it works | Best for | Watch out for |
|---|---|---|---|
| Rule-based (menu or flow) | Buttons and lists guide the customer down fixed paths you design | Bookings, order status, lead forms, simple FAQs | Feels rigid if customers type free text |
| AI agent | A language model reads the message and replies using your FAQs, catalogue and documents | Varied questions, product advice, Hinglish and typed queries | Can give wrong answers if not limited to your data; extra cost |
| Hybrid | Buttons for the main tasks, AI for open questions, human handoff for the rest | Most growing businesses | Needs more setup and testing |
For most small businesses we start with a rule-based flow for the three or four tasks that make up most chats, then add AI for the long tail once the basics work.
4. Integrations
The bot becomes useful when it can read and write data: your Shopify or WooCommerce orders, your booking calendar, your CRM, a Google Sheet, or a payment link from Razorpay. BSPs have built-in integrations for common tools. For anything custom, an automation platform such as n8n can sit in the middle. Our beginner's guide to n8n explains how that works.
The 2026 rule: business bots yes, general AI assistants no
Since 15 January 2026, WhatsApp's Business Solution Terms bar providers of AI technology from using the platform to offer general-purpose assistants where the AI itself is the main product, as TechCrunch reported when the terms were announced. Meta said the change does not affect businesses using AI to serve their own customers, giving a travel company's customer service bot as an example.
In practice, this means your WhatsApp chatbot should stay focused on your business: your products, bookings, orders and support. A bot that answers anything under the sun, writes essays or acts as a general assistant is the kind of use the terms target. Keep your AI agent's instructions limited to your own information, and always give customers a way to reach a person.
WhatsApp chatbot cost in India (2026)
A WhatsApp chatbot has three cost layers: Meta's message charges, the BSP or chatbot software fee, and GST. Here is each one with current figures.
Meta's message charges
Meta charges per delivered message, by category. Messages customers send you are free. At India list rates from October 2026, a marketing message costs about ₹0.86, and a utility, authentication or paid service message about ₹0.115. Since 1 October 2026, each business number gets 1,000 free service messages a month, and every reply after that is charged. Our full breakdown is in WhatsApp Business API pricing in India.
This matters for chatbots. A bot that takes six messages to answer a question costs three times as much as one that takes two, once you are past the free 1,000.
BSP and chatbot software fees
| Provider | Plan price (per month, before GST) | Chatbot builder | India message rates |
|---|---|---|---|
| AiSensy | Basic ₹1,500; Pro ₹3,200 | Add-on: ₹2,500/month (5 chatbots); AI Agent Builder ₹1,350/month with 1,000 AI messages | ₹1.09 marketing; ₹0.145 utility, authentication and service |
| Wati | Growth ₹4,999; Pro ₹9,999 (yearly billing is cheaper) | Included | Markup not published |
| Gupshup (self-serve) | ₹0 subscription | Not included; you build or buy one | About ₹0.09 added per message |
| Meta Cloud API (direct) | ₹0 platform fee | Not included; custom build | Meta list rates |
AiSensy's add-on prices and message rates are from its pricing page. Plan prices for AiSensy, Wati and Gupshup are from Codingclave's October 2026 comparison, which notes that Wati's Growth price changed between late September and early October 2026. BSP prices move often, so confirm on the provider's site before you sign up.
GST
Expect 18% GST on both the BSP's invoice and Meta's charges. If you are GST-registered, you can usually claim input tax credit, so check the treatment with your accountant.
Two worked monthly budgets
Both examples use AiSensy's published rates so the numbers are consistent. Swap in your own provider's quote.
Example 1: a clinic with a booking bot. 3,000 patient chats a month, with the bot sending about three replies per chat (9,000 service messages), plus 800 appointment reminders.
- Service: 8,000 billable (after 1,000 free) × ₹0.145 = ₹1,160
- Utility reminders: 800 × ₹0.145 = ₹116
- Basic plan ₹1,500 + chatbot builder ₹2,500 = ₹4,000
- Subtotal ₹5,276; GST at 18% ₹949.68
- Total: about ₹6,226 a month
Example 2: a D2C store with an AI agent. 6,000 order and shipping updates, 2,000 promotional messages, and 5,000 bot replies.
- Utility: 6,000 × ₹0.145 = ₹870
- Marketing: 2,000 × ₹1.09 = ₹2,180
- Service: 4,000 billable × ₹0.145 = ₹580
- Pro plan ₹3,200 + chatbot builder ₹2,500 + AI Agent Builder ₹1,350 = ₹7,050
- Subtotal ₹10,680; GST at 18% ₹1,922.40
- Total: about ₹12,602 a month
In both cases the software costs more than the messages. Compare providers on what you will pay at your own volumes, not on the headline plan price. The AI add-on includes 1,000 AI messages, so ask what the provider charges beyond that before you scale up.
A custom-built bot, connected straight to Meta's Cloud API, removes the monthly software fee but adds a one-time build cost and ongoing maintenance. It usually makes sense when you need deep integration with your own systems or high volumes where per-message markups add up.
How to set up a WhatsApp chatbot: 9 steps
- List the top questions. Go through a month of chats and write down the 10 to 15 questions you get most. These become the bot's first flows.
- Decide what the bot should finish on its own. For example, "book a slot", "share order status", "send the brochure". Keep everything else for your team.
- Choose a number. Use a number that is not active on the regular WhatsApp app, or migrate your existing Business App number through your BSP. Keep a separate number for personal use.
- Pick a BSP or build path. Compare two or three providers on chatbot builder, integrations, inbox seats and total monthly cost at your volumes.
- Complete Meta onboarding and business verification. New business portfolios start with a limit of 250 unique recipients for business-started messages per 24 hours. Verifying your business is one way to move up to 2,000.
- Build the flows. Start with a welcome menu of three to five buttons. Write short replies, one idea per message, and test them on a phone.
- Connect your systems. Link the store, calendar, CRM or sheet so the bot can give real answers instead of "we will get back to you".
- Set up human handoff. Add a "Talk to our team" option on every menu, and route chats to the right person during working hours, with a clear message outside them.
- Add entry points and launch. Put a click-to-chat link and QR code on your website, Google Business Profile, invoices and packaging. Review the chat logs weekly for the first month and fix the questions the bot got wrong.
Opt-in, privacy and the DPDP Act
WhatsApp's Business Messaging Policy says you may message people only after they have given you their number and opted in to receive messages, and that you must respect opt-out requests made on or off WhatsApp. Chats your customers start themselves are fine to reply to. Broadcasts to a bought list are not, and they lower your quality rating fast.
India's Digital Personal Data Protection Rules were notified on 14 November 2025, with an 18-month phased compliance period. Your bot collects names, phone numbers and sometimes health or financial details, so tell people in plain language why you are collecting them, collect only what the task needs, and make sure your BSP and any AI provider handle that data responsibly.
Mistakes to avoid
- No way to reach a human. Customers get stuck, get annoyed and leave. It also breaks WhatsApp's policy.
- Long walls of text. WhatsApp is read on phones. Keep replies to two or three short lines with buttons.
- Too many menu levels. If a customer needs more than three taps to reach an answer, simplify.
- An AI agent with no limits. Restrict it to your own information and tell it to hand over when unsure, or it may invent prices or policies.
- Promotions inside utility templates. A discount line in an order update can get the template classed as marketing, at about 7.5 times the price.
- Launching and forgetting. Read the unanswered questions every week. They tell you which flow to build next.

Frequently asked questions
How do I make a WhatsApp Business chatbot?
Sign up with a WhatsApp Business Solution Provider, connect a number, verify your business with Meta, then build flows in the provider's chatbot builder. Start with a welcome menu and two or three common tasks, add a human handoff option, test on a phone and launch with a click-to-chat link on your website.
How much does a WhatsApp chatbot cost in India?
For a small business, roughly ₹5,000 to ₹13,000 a month including GST, depending on the provider, add-ons and message volume. Meta's charges are small for most chatbots: replies cost about ₹0.115 each at Meta's list rate after the first 1,000 free service messages a month.
Is there a free WhatsApp chatbot for business?
The WhatsApp Business App's greeting, away and quick-reply messages are free but are not a full chatbot. Some BSPs have free plans, but chatbot builders are usually paid add-ons or included only in paid plans. Meta's message charges apply on any API-based bot.
Can I use ChatGPT on WhatsApp for my business?
You can use AI to answer your own customers' questions, as long as the bot serves your business. Since 15 January 2026, WhatsApp's terms bar general-purpose AI assistants offered as the main product. Keep your AI agent limited to your products, services and support, with a path to a person.
What is the 1,000 message limit on WhatsApp?
There are two different numbers. Since 1 October 2026, each business number gets 1,000 free service messages a month, after which replies are charged. Separately, Meta caps how many unique people you can start conversations with in 24 hours, beginning at 250 for new portfolios and rising to 2,000, 10,000, 100,000 and unlimited as you verify your business and send good-quality messages.
Which is the best WhatsApp chatbot for business?
There is no single best. A shop on Shopify may prefer a BSP with a ready Shopify integration, while a clinic needs calendar booking and a business with custom software may need an API-based build. Compare two or three options on integrations, handoff, inbox seats and total monthly cost at your own volumes.
